TRUSTEE BOARD MEETING
Minutes
Wednesday, September 17, 2008
The meeting was called to order at 5:08 pm by Blaine Robertson, chairman. Board members present were Blaine Robertson, Gordon Timothy, Jeniel Facer, Henry Benavidez, Pam Beard, and Judy Dewey.
The minutes of the last meeting were approved upon Henry’s motion and Jeniel’s second; all voted to approve them. After review, Gordon moved that the bills be approved. Pam seconded the motion and all voted in favor.
New Library
Judy reported on the telephone conference on September 15th regarding the sale of the bonds. It would be best if the board would pass a resolution which would pre-authorize Blaine to sign the final bond sale documents. Judy will ask Stephanie Bonney at Moore Smith when the resolution will be ready. The board will then decide when it wants to meet.
Long Range Plan
In order to properly qualify for the LSTA grant that Amber has written for four new children’s game computers, the library needs a long range plan. Judy brought a rough draft to the meeting and will work on it and present it at the October meeting.
Collection of Monies Owed
Judy received a call from a representative of Unique Management Services. She brought the new board members up to date on what they do for libraries. Some time back, we had sent one account to a local collection agency, but the patrons had filed for bankruptcy so the local agency’s efforts produced nothing. After a short discussion, Judy was assigned to return the call to the representative, get their latest information, and report to the next board meeting.
Direct Deposit of Paychecks
Unless a company issues many, many paychecks, it is too expensive to do direct deposit of paychecks. Staff had asked if it would be possible. There is the possibility of using Intuit, but Judy is hesitant to do that.
Shirts for Board Members
Blue polo shirts with the library’s logo and the board member’s names were distributed.
New Saturday Hours
Starting October 1st, the board decided to extend Saturday hours to six hours. Pam made the motion, Henry seconded it, and it passed unanimously. The library will continue to open at 10:00am on Saturdays but will stay open until 4:00pm instead of closing at 2:00pm. The board asked that we keep statistics on how many patrons come in the last two hours until January, after which the efficacy of the change will be reviewed.
New Treasurer
The new treasurer to the board of trustees is Jacob Harlan. He was introduced to the board. He is serving as a volunteer. It was noted he needs to be bonded. Judy will arrange for that.
Quilt Guild Quilt
Blaine reported that the quilt guild is making a quilt which will be raffled off to benefit the library. The quilt is being bound by Blaine’s wife and will be done soon.
