TRUSTEE BOARD MEETING

Minutes

Tuesday, February 19, 2008

The meeting was called to order at 5:56 pm by Blaine Robertson, chairman. Board members present were Pam Beard, Gordon Timothy, Blaine Robertson, and Judy Dewey. The chairman of the Sugar-Salem Community Library and the financial officer of the Sugar-Salem School District were also present.

The minutes of the last meeting were approved by acclamation, as were the bills. The checks paying the bills were signed.

Merger with Sugar-Salem Community Library

The chair of the Sugar-Salem Library reported they had received petitions from residents of their district requesting a merger of the two districts. They are going to be sending out a letter to their patrons and were at the meeting to learn some facts, the primary one being how much the bond would cost their patrons. Items discussed also included how the Madison Library would handle the extra patronage and the fact the book wagon (in progress) would go to Sugar City if the two districts merge. Judy was asked to write an opinion for the Rexburg Standard Journal. The Madison Library board expressed its agreement to merge the two districts.

Safe Deposit Box

It was decided to cancel the safe deposit box at Wells Fargo since nothing of importance was being kept there and it was not convenient to access it. Judy was assigned to close it.

Board Vacancy

Pam has in mind a candidate and will talk to that person.

New Building

Blaine had sent to all the board members a spreadsheet with various scenarios regarding pay-back of the bond, should it pass. One unknown is the bond fees. It was decided to ask the architects about the fees and discuss the bond further with them.

A meeting has been scheduled with the architects for 5:30 pm on Tuesday, March 4^th. It was decided to invite members of the Foundation and the building committee to attend the meeting.

Executive Session

The board then adjourned into executive session at the director’s request.

Next Board Meeting

There having been confusion as to the day of this month’s board meeting, a decision was made to hold next month’s board meeting on Wednesday, March 19^th.

The meeting was adjourned at 6:57 pm.
